Position Overview:

 

The Shared Services Support Specialist provides day-to-day administrative, reporting, and coordination support for the Restaurant Solutions (RS) team.

 

This role is focused on basic project management support, execution, and accurate collection and maintenance of data, preparing reports, managing lists, following up on quotes, and supporting communications and logistics. The ideal candidate has a high attention to detail, is customer-oriented, organized, and responsive, with the ability to handle multiple short-term tasks that directly support the success of RS programs and initiatives.

 

Schedule: Full-Time, M-F Day hours; Hybrid, onsite in Duluth, GA Corporate office

Responsibilities

What you will do:

 

  • Project Management Support
    • Support key project management activities, including task tracking, milestone follow-up, meeting preparation, documentation, and status reporting.
    • Assist with business process mapping to document current-state and future-state workflows, decision points, handoffs, and role clarity.
    • Support process development, changes, and optimization by documenting requirements, updating process materials, and coordinating feedback across stakeholders.

 

  • Systems, Data & Analytical Support
    • Onboard and maintain Arrowstream Supply Chain system and backup support for supplier, item, and pricing management with Category Management team.
    • Assist with ad hoc communications development, including product announcements, supplier updates, and commitment communications.
    • Support phone survey execution for new store/remodel projects and other RS initiatives.
    • Maintain and analyze member data to support targeted sales or marketing campaigns, research, and program development.
    • Provide reporting and insights to support RS program performance and decision-making.
    • Provide support with Project Charter maintenance and communication.
    • Support audit needs and feedback by gathering inputs, organizing backup documentation, tracking requested items, and incorporating audit feedback into action plans or process updates.
    • Maintain key PM support tools and documentation, such as project charters, action logs, risk/issue trackers, timelines, and communication materials as needed.

 

  • Administrative Support
    • Manage and maintain New Store & Remodel Solution accounting invoicing, crediting and tracking processes
    • Conduct quote follow-ups via phone and email for new store/remodel projects and other growth initiatives.
    • Work collaboratively with internal teams to route franchisee requests such as quote updates, quote revisions, or escalations.
    • Collect and submit weekly RS board report in collaboration with the team.
    • Assist with franchisee meeting preparation (bi-annual):
      • Source internal data to create reference sheets for multiple meetings each cycle.
      • Assist in drafting meeting-specific to-do lists.
    • Manage logistics and communications for in-person training events in partnership with the Equipment Maintenance Category Manager (registration, confirmations, reminders, post-event follow-up).
    • Provide support as needed for Category Management and New Store/Remodel Solution teams

 

  • Marketing/Communications Support
  • Assist with preparing and distributing member communications (email campaigns, newsletters, flyers, SMS messages, etc.).
  • Support the maintenance of the marketing/communications calendar.

 

Perform other duties as assigned.

 

Supervision Exercised: This position has no direct supervisory responsibilities. 

 

 

Qualifications

What you bring:

 

  • Bachelor’s degree or equivalent work experience in business, marketing, communications, or related field.
  • 1-3 years of experience in an administrative, coordinator, or specialist role.
  • Strong organizational skills with attention to detail and accuracy.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); experience with Smartsheet or CRM systems is a plus.
  • Comfort working with data–collecting, cleaning, and preparing for reporting.
  • Able to handle multiple priorities in a high-pressure environment
  • Proven ability to communicate effectively with diverse audiences and work associates
  • Experience working in a supply chain, franchise, and/or food service environment is a plus

 

Other Requirements

Limited amount of travel may be required
