Position Overview
The Executive Assistant manages up to 5 assigned executives’ calendars, calls, meetings, expenses, and travel arrangements in a professional manner.
Works closely with executive personnel and their executive assistants to complete executive tasks such as the creation of presentations, scheduling of meetings, arranging catering, and recording of minutes, as well as other administrative tasks. Incumbent must have the ability to work extended hours and weekends, as needed, to effectively perform responsibilities.
Schedule: Monday through Friday, Hybrid in Duluth, GA
1. Manage up to 5 assigned executives’ calendars, calls, mail, files, and meetings. Establish appointment priorities and reschedule appointments, as necessary. Assess the urgency and importance of situations and take appropriate action. Organize and prioritize large volumes of information. Handle confidential and non-routine information discreetly and professionally.
2. Manage all aspects of assigned executives’ travel arrangements and complete associated expense reports in an accurate and timely manner.
3. Plan off-site meetings and make necessary arrangements. Attend meetings and serve as primary onsite coordinator, ensuring meeting space, equipment, and meals are properly supported, as well as record minutes, as needed.
4. Follow-up on all scheduled executive appointments to ensure timeliness and preparedness for meetings.
5. Draft general correspondence, memos, charts, tables, graphs, business plans, and PowerPoint presentations, as needed.
6. Manage the setup and clean-up of catering for business meetings, as well as ensure all equipment is in working order and appropriate materials are available in the executive meeting space.
7. Compile office supply orders for general Duluth office use, as well as department order requests, as needed, ensuring sufficient office supplies are maintained on hand.
8. Work independently and within a team on special and ongoing projects. Act as the project manager for special projects which may include planning and coordinating multiple presentations, disseminating information, and organizing Company-wide events.
9. Other duties as assigned by supervisor or executives.
1. Bachelor’s degree strongly desired.
2. 3+ years of experience with direct senior-executive level support.
3. Highly proficient in Microsoft Office suite (Outlook, OneNote, Word, Excel, Visio and Power Point) required.
4. Familiar with travel systems and expense systems (preferably Concur).
5. Strong organizational and follow-up skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. 6. Strong interpersonal skills and the ability to build effective working relationships with stakeholders, including staff, Board members and external partners, ensuring the highest level of customer / client service and response.
7. Professional-level written and verbal communication skills.
8. Demonstrated proactive approach to problem-solving with strong decision-making capability.
9. Professional and emotional maturity and presence.
10. Highly resourceful team-player, with the ability to effectively execute independently without supervision.
11. Proven ability to handle confidential information with the utmost discretion.
12. Demonstrated ability to effectively adapt to competing demands and meet deadlines in a fast-paced, dynamic environment.
13. Strong critical thinking skills, and the ability to anticipate what needs to be done and execute accordingly with a sense of urgency.
